2. What data we process and why

Browsing the site

Our server logs technical details such as IP address, browser type, page visited and time. We use them to run and secure the site. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).

Your account

Name, email and password (stored encrypted). We need these to create and manage your account. Legal basis: performance of a contract (Art. 6(1)(b)).

Competition entries

Your photographs or films, titles, descriptions, category, your age or parental consent declaration, and anything else the competition rules ask for. We use them to check entries, organise the judging, announce the results and run the public gallery, where works are shown with the creator’s name. Legal basis: performance of a contract (Art. 6(1)(b)). Original files are kept in non-public storage. Published versions do not contain the photograph’s metadata (EXIF).

Jury

For judges: name, title, biography, photo and scores. We use them to organise the judging and, if the competition chooses so, to present the jury on its page. Legal basis: performance of a contract (Art. 6(1)(b)). Judges see entries without the creators’ names.

Quote requests and contact

Name, email, organisation, phone and your message. We use them to reply and prepare a proposal. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b)).

Cookies

Strictly necessary cookies are used without consent, as the law allows. Everything else only with your consent (Art. 6(1)(a)). Details in our Cookie Policy.

3. Who receives the data

  • The organiser of each competition, to the extent needed to run it and award the prizes, as set out in its rules. For example, we pass on winners’ contact details so prizes can be delivered.
  • The jury, who see entries without names.
  • Service providers processing data on our behalf under contract: the site’s hosting company (Hostinger), the email delivery service, and Bunny Fonts (BunnyWay d.o.o., Slovenia), which delivers the fonts and receives your IP address to do so.
  • The public, for what is published: approved entries, results and gallery, with the creator’s name.
  • Public authorities, only where required by law.

We do not sell or rent personal data.

4. Transfers outside the EEA

We aim to keep data within the European Economic Area. If a provider transfers data outside the EEA, this happens only with GDPR safeguards, such as an adequacy decision or standard contractual clauses.

5. How long we keep data

  • Account: for as long as it is active. You can ask us to delete it at any time.
  • Entries: for the duration of the competition and as long as needed to award the prizes, as set out in its rules. Results and the gallery remain published as the competition’s archive. You can ask for your work to be withdrawn where this is feasible.
  • Quote requests: as long as needed for our communication and up to two years afterwards.
  • Technical logs: for a short period, for security purposes.
  • Accounting and tax records (where payments are involved): as long as the law requires.

6. Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and objection, and the right to withdraw your consent at any time, without affecting processing carried out before. To exercise your rights, contact us via our contact form. We reply within one month.

If you believe your rights have been infringed, you can lodge a complaint with the Hellenic Data Protection Authority (1-3 Kifisias Ave., 115 23 Athens, Greece, www.dpa.gr).

7. Minors

Competitions are open to people aged 15 and over (Art. 21 of Greek Law 4624/2019). Younger participants need the consent of a parent or guardian, which we ask for in the entry form.

8. Security

We use an encrypted connection (HTTPS), store passwords encrypted, keep original files in non-public storage and limit access to the people who need it.

9. Automated decisions

We do not make decisions solely by automated means. Entries are judged by people: the jury of each competition.

10. Changes

When the way we process data changes, we update this page and the date at the top.
